TRAVEL ARRANGEMENTS

Travel arrangements are your responsibility.
Please be sure to arrive by your authorized date and depart no sooner than your departure time stated above. Delegates and National Officers must be present for all sessions of the National Convention to be paid.

For those who elect to fly, plan to fly into Reagan National Airport (DCA) as it is the most convenient location. It is a 15-minute drive to the Gaylord National Resort and Convention Center.

Modern Woodmen will not be providing formal airport arrival or departure transfers. For transfers you will need to take a taxicab or shuttle service. Following are some options:

    The above estimates assume light to moderate traffic.  The appropriate cab fare does not include driver gratuity, which is typically 10 – 15%.

DESTINATION MANAGEMENT COMPANY

The company we will partner with is GEP Washington.  They will assist with our Monday National Convention Banquet at the Air and Space Museum and the shuttle service from the Gaylord Resort to the National Mall on Tuesday afternoon.

In addition, GEP staff will be stationed at a hospitality desk in the Woodrow Wilson Lobby during our Convention.  They will be there to provide assistance for our trip attendees and GEP is an excellent source for general information, tour information, and restaurant recommendations and reservations.

The Gaylord National Resort also has a guest services desk, which is available to answer your questions.  They can assist with shuttle services to and from the airport or downtown D.C., water taxis to Old Town Alexandria, metro-train information, tour information or other general information.  Please do not hesitate to use the GEP staff or Gaylord’s guest services desk to make your trip easier and more relaxing.

CHECK-IN

Modern Woodmen has negotiated a group room block at the Gaylord National Resort. The nightly room rate including taxes and the daily $10.60 resort fee is $260.00. The resort fee includes complimentary local and 1-800 calls, wireless high-speed internet, daily newspaper, in room coffee/tea, (2) bottles of water per day and access to the fitness center. All rooms include a refrigerator. Once you have checked in to the hotel, please stop by the Modern Woodmen registration area located on the second floor of the hotel in the Woodrow Wilson Lobby area. Delegates and National Officers, please bring your credential with you.

PROGRAM EXTENSION AND EXTRA ROOMS

Our group room rate has been extended for attendees who wish to arrive early or stay after the convention. The dates of the extension are June 21, 2010 through July 5, 2010. The pre and post rooms are additions to our group block and are subject to availability at the hotel. The earlier you complete your registration increases your chances of securing the additional room nights desired.

The Gaylord National Resort allows (4) people per room. Each adult or child counts as (1) person regardless of age. If you have over (4) people in your party, you will need to reserve additional rooms. Our group room block will be allocated to convention attendees first and then we will accommodate those attendees requesting additional rooms. The extra rooms are based on availability and we cannot guarantee them. In your registration process, you will be given the option to request additional rooms and they will be assigned on a first come first serve basis.

There are a few other hotels in the National Harbor area, which include a Hampton Inn, Residence Inn by Marriott, Westin, and Aloft. You may receive a more favorable rate at one of these properties for your additional guests. If this is the option you choose, in the registration process, please register your guests for the National Convention even though they will be staying at a different property.

MILEAGE and PER DIEM

The hotel room expense, taxes, and resort fee for your authorized convention dates will be paid through Modern Woodmen's master account. Charges for additional room nights, extra rooms, or incidental charges will be your personal expense.

The delegates will hear a report from the Mileage and Per Diem Committee during the convention and vote on the report. You must be present at all sessions of the convention to receive the per diem and mileage reimbursement, which will be distributed at the close of the National Convention on Wednesday morning. Please note that the hotel does not provide check cashing services. The per diem is intended to cover your costs enroute and your meals during the time the convention is in session. Your hotel expenses for your authorized days will be on Modern Woodmen of America's master account. You will only be responsible for incidental expenses charged to your room for Sunday through Wednesday, extra rooms and nights you wish to stay outside of your authorized days.

You will be required to provide a credit card at hotel check in to cover any incidental expenses. If you do not have a credit card, please let us know and we will make alternative arrangements at the hotel.

HONOR FLIGHT

Modern Woodmen is sponsoring a Honor Flight in conjunction with our National Convention. This flight will enable approximately 100 of our member Veterans to make the journey to Washington, D.C. to visit the war memorials and Arlington National Cemetery.  We will honor our Veteran attendees by recognizing their patriotic service during the Tuesday morning session of the National Convention.  All Modern Woodmen registered attendees and guests are invited to be a part of this recognition.

SMOKING / NON-SMOKING

The Gaylord National Resort, like many resorts today, is a non-smoking facility.  Smoking is prohibited in all guest rooms, restaurants, lounges, meeting rooms and public spaces.

CHECK OUT

The hotel check out time is 11:00am. This may create a minor issue, as the daily meetings are scheduled to end at 12:00pm.  You have a couple of options:

  1. On your day of departure, check out prior to the start of the meeting and store your luggage at the bell stand until you depart the hotel.
  2. Have your spouse check out of the room prior to 11:00am and store your luggage.

WEATHER

The average daytime temperature in late June for Washington, D.C. is 85° F.  The average June rainfall is 3.13 inches.

Umbrella – It is a must you bring an umbrella.  Washington, D.C. is a walking city.  If you are going to spend time exploring the monuments, memorials, and museums, you will be walking outside so please plan accordingly.
